Job Title: Events and Promotions Coordinator
Location: North Dakota State Fairgrounds – Minot, ND
Position Type: Full-Time, Year-Round
Reports To: Assistant Manager
Overview:
The North Dakota State Fair is seeking a motivated and detail-oriented individual to join our team as the Commercial Booth Sales Coordinator. This key position is responsible for managing the vetting, contracting, and coordination of commercial and food vendors for the nine-day annual State Fair, ensuring a diverse and appealing marketplace that fits the North Dakota demographic. This position also plays a vital role in overall office operations and customer service throughout the year.
Key Responsibilities:
- Vendor Management & Selection:
- Solicit, vet, and approve a variety of commercial and food vendors to ensure quality, diversity, and alignment with the North Dakota State Fair audience.
- Maintain a balanced mix of vendors that meet both attendee interest and market appropriateness.
- Contracting & Compliance:
- Draft and manage contracts for booth rental agreements.
- Ensure all vendors meet insurance and regulatory requirements prior to participation.
- Site Planning & Logistics:
- Strategically map vendor booth locations—both indoor and outdoor—for logical flow and accessibility on the fairgrounds.
- Financial Administration:
- Collect rental payments, maintain accurate financial records, and monitor outstanding receivables.
- Calculate and collect percentage-based fees from applicable vendors based on gross sales.
- Travel & Training:
- Attend relevant trade shows, vendor fairs, and training seminars (travel required periodically).
- Remain current with industry trends and regulations affecting vendor operations.
- Team & Office Support:
- Assist with general office operations including:
- Customer service and phone support
- Ticket sales and database entry
- Accounting assistance
- Other duties as assigned

Qualifications:
- Strong organizational and interpersonal skills
- Excellent communication and customer service abilities
- Proficient in Microsoft Office Suite and basic database functions
- Prior experience in event coordination, vendor management, or sales preferred
- Ability to manage deadlines and multitask in a fast-paced environment
- Availability to work extended hours during the fair
- Must be able to travel occasionally
Preferred Experience (not required):
- Event/fair industry experience
- Familiarity with North Dakota markets and regional vendor trends
Training:
Formal training and industry seminars will be provided to support professional growth and success in this role.

GROUNDS CREW
Job Title: Grounds Crew
Location: North Dakota State Fairgrounds – Minot, ND
Job Type: Part-Time & Full-Time Positions Available
Start Date: Immediate Openings
Position Overview:
Join the team that keeps the North Dakota State Fairgrounds in top shape! We’re hiring reliable, hardworking individuals to assist with grounds maintenance and prep as we gear up for the 2025 Fair. This is a hands-on position ideal for individuals who enjoy working outdoors and take pride in keeping spaces clean, safe, and welcoming for visitors. For the right fit, the position may become permanent following the fair.
Duties & Responsibilities:
- General upkeep of fairgrounds including mowing, weed trimming, trash removal, and sweeping
- Set-up and tear-down of event equipment, signage, and fencing
- Assisting vendors, exhibitors, and other departments with grounds-related needs
- Cleaning restrooms, buildings, and outdoor areas
- Operating small machinery and tools as needed
- Ensuring safety standards are maintained throughout the grounds
- Other duties as assigned by the Grounds Supervisor
Qualifications:
- Must be dependable, punctual, and able to work as part of a team
- Ability to follow directions and complete tasks efficiently
- Comfortable working outdoors in varying weather conditions
- Must be able to lift 50+ lbs and perform physical labor
- Prior groundskeeping or maintenance experience is a plus, but not required
Schedule & Availability:
- Scheduled hours based on needs.
- Overtime hours may be available during peak times

Events Support Staff
Work Ethic: Must be trustworthy, dependable, and respectful and commit to excellent customer service. Have the ability to follow policies and procedures and take responsibility.
Description:
- Setting buildings for events
- Managing winter storage
- Cleaning and Maintenance
- Mowing lawn or moving snow
- Keeping the North Dakota State Fair Grounds clean and maintained.

Job Type: Full-time
Hours: Monday – Friday 8:00 am – 5:00 pm with additional hours in July
